Envirowise
The challengeA series of events being held throughout the UK by Envirowise resulted in companies completing an Action Plan or a Request for further information/help. Each Action Plan and Request for help needed to be data captured. The Request for further information/help was then sent to the appropriate department. Companies completing an Action Plan then needed to complete a Pre-Qualification form (PQF).
The challenge was to co-ordinate the Action Plans/Requests, data capture to a central database and then progress the interested company via a PQF.
- Each region produced different Action Plan/Request forms
- Each event had different forms
- ActionPlans/Requests were sent to Envirowise via fax, email, post and some handed in at the event
- The PQF's were complex , specific to the type of need which wasn't immediately obvious and companies needed to be walked through the PQF in order to progress to a positive outcome
The approach
- Our first task was to set up a central repository for all documents. We set up dedicated fax, email and postal addresses so that all forms would arrive at Golley Slater
- A unique database was built which could cope with the variety of questions and answers spread over many different regional and event forms. The database also needed to house the complexity of required answers on multiple RQF forms
- The next task was to data capture all of the information keeping to the data capture agreed parameters thus ensuring that data transfers back to Envirowise were seamless and that all information was kept and uniform
- A dedicated and highly trained team of agents then contacted the Decision Maker Contact and engaged in discussion so that the specific requirements could be identified. The team then facilitated either completion the form over the telephone or arranged to email the appropriate PQF. Once the PFQ has been completed we then organised for a consultant from Envirowise to contact the DMC with a view to arranging a visit
- Other outcomes included facilitating helpdesk enquiries, arranging fulfilment of brochures from the vast list of publications and giving out details of useful websites and local clubs/services in respect of environmental and waste awareness issues
The result
- Action Plans/Requests have now been captured to the Envirowise Event database
- Specific publications have been ordered
- Details of web resource and local clubs/services have been given out
- Helpline details have been passed
- E-bulletin sign-ups have been achieved
- Consultant visits have been arranged
- E-mailed presentations have been ordered
- Future prospects have been saved to the database with agreed follow up calls
- Contact with various Regional Envirowise Account Managers has been organised
